Applying/Editing Document Type Security

If security is applied to INWORKS documents, documents are accessible when the status is PRERELEASED and CURRENT. The number of actors who can view the document once it is PRERELEASED and CURRENT is limited by the Apply Security setting in the document type.

If security is not applied to INWORKS documents, the document records are accessible to actors as soon as they are created according to the document type's Apply Security setting.

NOTE: Security for INWORKS documents is set up in the document type. If the Secured Inworks checkbox is enabled, the INWORKS document is only accessible to those actors listed in the document type Securities folder. Security for EXPIRED documents is set up in the document's type. If the Secured Expired checkbox is enabled, the EXPIRED document is only accessible to those actors listed in the document type's Securities folder.

  1. From the SmartSolve Portal Page, click the Home tab.
  2. In the Document Management section of the list, select Document Type.
    Result: The Document Types list window is displayed.
  3. Click the Type link of the document type to be edited.
    Result: The Document Type record is displayed.
  4. Click Action > Edit.
    Result: The Document Type entry window is displayed.
  1. Click the Apply Security drop down arrow and specify the type of security to be applied:
  2. None – Security is not applied which means the document can be viewed and edited by all users.
  3. Manage – Security is applied for editing only (by roles) which means that anyone can view the document.
  4. Manage and View – Security is applied for both editing and viewing document by role.
  5. Click the Save button.
    Result: The changes have been saved and the Document Type record is displayed.
  6. In the document type tree on the left side of the record, click the Securities link.
    Result: The Securities window is displayed.
  7. Click Action > Add.
  8. Zoom from the Role field and check the checkboxes for all roles that will have access to documents of this type.
  9. Click Action > Select.
  10. Check the appropriate checkboxes to Allow Edit, Allow Delete, and Allow Create options. View rights are added when the role is added.
  11. Click the Save button.
    Result: The roles have been added and are displayed in the Securities window.
